Variable Naming

If you are looking for a way to name your different document types, you can setup a Variable Naming rule. Variable Naming allows for a standard naming convention to be assigned to specified Document Types. You can select from 11 different items in any particular order that will be applied as the document name once filed into the system. When you are filing multiple documents through a drag-and-drop screen, users have the ability to rename files as they come in, as well as the ability to re-route files before “Submitting All”.

Using the box on the right, which has your file names listed, simply click on the file you would like to re-route and name, then click “Save” when finished.

Users can drag-and-drop directly into specific folders from the Browse Folders and Folder Details search screens.

  1. Menu>Locating>Browse Folders
    1. Narrow down to the cabinet, folder, and subdivider you would like to file the document(s). Click on the paper icon with the plus sign next to the folder you want, and the system will ask you if you want to use Drag and Drop. Click OK.
    2. Drag the files into the file box that you’d like to file and be sure a subdivider has been selected.
    3. If you would like to rename any files being added, highlight the file name from the box on the right and type the name you would like.
    4. Before saving, select the Document Type you’d like to file these documents under and complete any metadata that is needed. Click Save.
    5. Repeat this process for any remaining documents.
  2. Menu>Locating>Folder Details
    1. Narrow down to the cabinet and folder you’d like to file the document. Click on the Fx icon above the document grid and select Drag File.
    2. Drag the files into the file box that you’d like to file and be sure a subdivider has been selected.
    3. If you would like to rename any files being added, highlight the file name from the box on the right and type the name you would like.
    4. Before saving, select the Document Type you’d like to file these documents under and complete any metadata that is needed. Click Save.
    5. Repeat this process for any remaining documents.
